2. Which data do we process?

When you complete the form on the contact page, we process the details you enter there yourself. Required are: your name, your business name, your email address, your telephone number, the type of business, the service or services you are asking about, when the system was last cleaned, and your message. The approximate length of your grease duct is optional.

The free text field lets you supply more than the items listed above. We ask you not to include anything there that is not needed for your request.

The form does not ask for photos and does not upload any. If you want to send us images of your duct, hood or fan, email them directly to info@ventcleaning.nl. Those photos then arrive in our mailbox and fall under the same retention period as your request.

We also process your IP address at the moment you submit the form. We use it solely to count how many requests arrive from the same address, to a maximum of five per ten minutes, in order to prevent automated abuse. That count is held in the server's working memory, is not stored anywhere, and disappears after ten minutes. Our hosting provider additionally processes technical data such as your IP address in order to deliver and secure the website.

3. What we do not do

• We use no cookies for analytics, advertising or tracking.
• We use no visitor statistics or analytics software.
• We use no tracking pixels, advertising networks or social media buttons.
• We do not sell your data and do not share it with third parties for marketing purposes.
• We use no automated decision-making or profiling.

4. What do we use your data for?

• Handling and answering your request, including scheduling a free inspection and drawing up a quotation.
• Protecting our website against spam and automated abuse.

We do not use your data for any purpose other than these.

5. On what legal basis do we process your data?

For handling your request: the processing is necessary in order to take steps at your request prior to entering into a contract (article 6(1)(b) GDPR).

For securing the website: our legitimate interest in keeping our systems usable and safe (article 6(1)(f) GDPR).

6. Who do we share your data with?

We engage the following parties in delivering our services. They process data solely on our instructions.

Netlify

Hosting of the website and handling of the form request. Processes technical data such as your IP address, and the content of your submission at the moment you send it.

Resend

Delivery of the email message by which your request reaches us. Processes the details you entered in the form.

Microsoft

The mailbox in which your request arrives and is kept.

Google

Delivery of the fonts this website is displayed in. Your browser fetches those files from Google, in the course of which your IP address reaches Google.

7. How long do we keep your data?

If your request does not lead to an assignment, we keep it for a maximum of twelve months after it arrived.

If it does lead to an assignment, we keep your data for as long as is needed to carry that out. Data forming part of our financial records is kept for seven years, because Dutch law requires us to.

8. How do we protect your data?

• The website is reachable only over a secure connection (HTTPS).
• Form submissions are checked on our server before they are processed, and we take measures against automated abuse.
• The keys our systems use to communicate with one another exist only on the server and cannot be read from the website.
• Access to the mailbox in which your request arrives is limited to the owner of VentCleaning.

9. What rights do you have?

You have the right to:

• access your data;
• have your data corrected;
• have your data erased;
• object to the processing;
• have the processing restricted;
• have your data transferred.

Would you like to exercise one of these rights? Send an email to info@ventcleaning.nl. We will respond within the statutory period. You also have the right at any time to lodge a complaint with the Autoriteit Persoonsgegevens, the Dutch data protection authority.

10. Storage in your browser

This website sets no tracking cookies. It does keep one technical item in your browser: a marker recording that you closed the notice which appears on a visit, so that it does not reappear during the same session. That marker contains no personal data, is not shared, and disappears as soon as you close your browser.

11. Changes

We may amend this privacy statement. The current version is always on this page, with the date of the last change at the top.

12. Language

This is a translation, provided so that English-speaking visitors can read what happens to their data. The Dutch version of this privacy statement is the binding one. In the event of any difference between the two texts, the Dutch text prevails.
